Families attend healthcare appointments for many different reasons — routine checks, assessments, treatment, therapy, dental care, diagnostic appointments, hospital visits and longer-term care.
Sometimes the challenge is not the appointment itself, but everything happening around it.
A parent may need to focus fully on a consultation while another child needs care. A child may need calm, familiar support through a long wait or an unfamiliar healthcare environment. A family attending repeat appointments may need reliable childcare support that works around changing appointment times, different settings and the practical demands of the day.
Unlike childcare delivered solely in a family home, Medical Appointment Support can take place in and around hospitals, outpatient departments, GP surgeries, dental practices, diagnostic centres, therapy and rehabilitation settings, day units and other healthcare environments, where access arrangements, waiting times, professional boundaries and safeguarding requirements all need to be understood.
The KLCA Medical Appointment Support Specialist Programme is for childcare professionals and entrepreneurs who want to understand how professional non-clinical childcare and practical support can be planned, built and delivered around medical and healthcare appointments.
You may already know how to care for children — what is likely to be new is understanding what changes when childcare is delivered in or around a healthcare environment, where you may be working alongside parents, reception teams, healthcare professionals, family-support services, charities, schools, commissioners and other organisations while remaining clearly within a non-clinical childcare role.
That’s where this programme comes in.
The programme covers both sides of professional Medical Appointment Support: supporting the child and family around the appointment, and building the service behind it.
On the childcare and service-delivery side, you’ll learn how to prepare for and support children around healthcare appointments; understand how age, communication, previous experiences, waiting, sensory needs, routines and individual support needs can affect the appointment experience; use honest, age-appropriate preparation; plan comfort and distraction; support children through unfamiliar environments; manage waiting periods professionally; understand safeguarding, safe handover and professional boundaries; and respond appropriately when circumstances change during the booking.
You’ll also explore what professional Medical Appointment Support actually looks like — from the first family or professional enquiry through to booking checks, pre-appointment preparation, arrival, settling, the waiting period, support around the appointment, Parent-Emergence Handover, record keeping and professional follow-up.
You’ll learn how the two core service shapes can work in practice:
Child-at-Appointment Support — non-clinical childcare and practical support for a child attending their own healthcare appointment.
Children’s Support While a Parent or Sibling Attends — childcare for one or more children while their parent or sibling attends a healthcare appointment.
On the business side, you’ll learn to build the service itself — deciding which Medical Appointment Support services and settings you want to offer, understanding your potential market, creating your Provider Profile, developing your service structure, pricing your services, preparing your business and booking documents and understanding the registration, insurance, safeguarding, booking-authority, data-protection and healthcare-setting requirements that may apply to your particular operating model.
You’ll also learn how opportunities may reach you through different Client and Referral Routes — including direct families, hospital or healthcare family-support services where external signposting or referral is permitted, charities and patient-support organisations, schools and SEND or early-help services, authorised personal-budget or commissioned-support routes, agencies and other family-support organisations.
The programme will show you how to market your service professionally, approach potential clients and organisations, respond to enquiries, assess whether a booking is right for you, establish the required booking authority and boundaries, and move an appropriate enquiry from first conversation through to preparation, professional delivery and follow-up.
By the end, you’ll understand how a professional Medical Appointment Support service can be:
planned · built · priced · marketed · booked · prepared · delivered · reviewed
Build Your Service as You Learn
This isn’t a programme where you simply attend classes and collect notes.
Throughout the programme, you’ll develop the practical foundations of your own Medical Appointment Support service — working through your market, Provider Profile, service offer, pricing, booking-authority and compliance questions, client and professional materials, booking systems, appointment preparation, safeguarding procedures, handovers, records and service-delivery processes.
You’ll work with practical tools and frameworks that help you think through how your own service could operate — rather than simply learning Medical Appointment Support as a theory.
So you finish not simply knowing what Medical Appointment Support is, but understanding how the different parts of a professional service fit together and what you need to establish before accepting and delivering real bookings.
Learners completing the full programme also follow KLCA’s structured portfolio and assessment pathway, including the programme’s Readiness Gates and final Ready-to-Launch assessment.

You don’t need a clinical or healthcare background or an existing Medical Appointment Support business.
If you already have suitable childcare, early-years, education or safeguarding experience, KLCA helps you build the additional appointment-specific, business and operational knowledge required to understand and develop this specialist service professionally.
This is a non-clinical childcare programme. It does not qualify you to diagnose, interpret medical information, give medical advice, make treatment decisions or perform clinical procedures.
How the Programme Is Delivered
The full programme is 12 specialist sessions across 6 modules, available in two ways:
For Individual Learners
The complete Specialist Programme is delivered through private 1-to-1 live virtual training with a KLCA trainer.
The programme takes you progressively through the different stages of understanding, developing, preparing and operating a Medical Appointment Support service while allowing the sessions to focus directly on the type of appointment-support work you personally want to develop.
Across the programme, you will work progressively through the different stages of developing and operating your service rather than treating each subject as a separate topic.
You’ll move from understanding the specialist role and market through to supporting children, defining your own readiness, building the business and compliance foundation, safeguarding and operational systems, marketing and booking, and finally preparing for and delivering the complete Medical Appointment Support Service Cycle.
For Organisations
KLCA also delivers the programme as a private organisational cohort.
Organisations can commission the Medical Appointment Support Specialist Programme for their own learners, participants, childcare professionals or aspiring childcare entrepreneurs.
Delivery can be arranged:
